ROLL CALL Roll call was taken by Mr. Stachowski. APPROVAL OF MEETING AGENDA A motion to approve the agenda was made by Mr. Shannon and seconded by Mr. Hill. The vote passed unanimously. APPROVAL OF PAST MINUTES A motion was made by Mr. Shannon and seconded by Mr. Hill to approve the February 2018 minutes. They requested that it remain passive for the city to enjoy. COMMITTEE REPORTS 1. Hopewell Youth Baseball o No report, all programming is going well 2. Eagle Stix o Season is going well. Practices and games have begun 3. Milton Steelers o Mr. Hill met with the Milton Steelers. He is looking to keep that strong relationship with the program. UNFINISHED BUSINESS o Wall of Fame o There will be a new process proposed by the sub -committee. o That new subcommittee will be comprised of Mr. Stachowski, Mr. Alberici and Mr. Townes. o Inception of Park Memorials —Teresa McAree o She is a North Fulton Hospital nurse o She and her family were friends with a local resident who suddenly passed o Looking to add a memorial at Bell Memorial Park for this particular resident o City staff is reaching out to a local boys scout working on benches for Providence Park. They will ask if he can do a bench at Bell Memorial Park in place of one at Providence.. Jim Cregge o Providence Park o No money left in contract for additional work. Pricing is being negotiated. o Proposal will be back with the necessary hours to complete plan by the end of March o Another public meeting will be required to ensure the public needs are met o Master Plan o Asking for more hours from the contractor o Milton Country Club Master Plan o All bids have been received o Scheduling interviews for consultants o Milton Country Club Pool o There will be a swim team, along with public usage of the pool for this summer o Long term decisions will be decided as part of the master plan process o Discussion on field capacity issues o At this time, lacrosse is not having more than 48 kids on the field at once o Mr. Alberici agrees that the field is not being overfilled with lacrosse players. Age and team separation are key factors to keeping the capacity numbers in the safe zones. o A sub -committee will be formed to come up with policy recommendations o Meeting with Tim Lester with Milton Steelers will be on 3/14/18 to discuss capacities. PRAB has approved the idea of putting up temporary fencing. OTHER BUSINESS None ADJOURNMENT Motion made to adjourn by Mr. Hill. The motion was seconded by Mr. Shannon. The motion was approved by a unanimous vote. The meeting was ended by Mr. Stachowski at 8:00 PM. 2006 Heritage Walk Milton, GA 30004 P: 678.242.2500 I F: 678.242.2499 info@cityofmiltonga.uslwww.cityofmiltongo.us City of Milton Wall of Fame PURPOSE To recognize and honor the achievement and success of deserving participants, coaches, and contributors from a parks and recreation program in the City of Milton, by placing their names onto a Wall of Fame at Bell Memorial Park. ELIGIBILITY REQUIREMENTS The following requirements will guide the nomination process for individuals: 1. Must have been a resident of the City of Milton or of the surrounding community or have graduated from the high schools in the City of Milton. 2. May have participated in a City of Milton Parks and Recreation program or, may have participated in parks or recreation programs at the local community parks such as but not limited to Bell Memorial Park, Alpharetta North Park, and Webb Bridge Park, or been an active supporter of any of the surrounding community programs. 3. As an athlete, the candidate must have achieved a personal level of success beyond the High School level in their respective program. Eligibility begins five years after graduation from high school. 4. Must at all times be a good citizen and demonstrate good character, integrity and be a good representative of their program and the City of Milton. 5. Must not have any felony conviction at the time of nomination. Any felony conviction after selection may result in removing their name from the Wall of Fame:. 6. These criteria are subject to final review and approval of the City of Milton Parks and Recreation Director and are subject to change without notice. NOMINATION PROCESS' The City of Milton Parks and Recreation Department will issue an annual call for nominations (via email, newspaper, and social media). Nominees will be accepted at all times via a form on the City Website. All names received as of March 31 will be reviewed and vetted by City staff to confirm the accuracy of the nominee's achievement. Nominations received after March 31 will be reviewed in the following year. Once an individual is nominated and meets selection requirements, he or she shall remain on the ballot for seven years. City of Milton Wall of Fame VOTING PROCESS Final selection will occur by a Voting Committee of nine people. The Voting Committee shall be comprised of all seven members of the Parks and Recreation Advisory Board and one representative from Cambridge and Milton High Schools, designated by the Principals. The Voting Committee will review the ballot and submit their votes by June 30 to the City of Milton Parks and Recreation Director. The vote count will be verified by the City of Milton City Clerk. Winners will be announced at the first City Council Meeting in July. A recognition and award ceremony then will take place at the Wail of Fame on the second Saturday of September. VOTING PROCESS The election will use a point system format. The number of points available will be based upon the number of candidates on the ballot. Each voting member will rank his or her candidates with the highest ranked candidate getting the most points and then decreasing for the remaining nominees. For example if there are 6 nominees then the highest ranked candidate will get 6 points and the lowest ranked candidate will receive 1 point. Any candidate who reaches 60% of the possible points available, will be declared a member of the Wall of Fame. SPECIAL CRITERIA Any person who is nominated shall remove themselves from all participation in the vetting and voting process.
