Minutes April 16, 2008 [APPROVED] • Date: April 16, 2008, b:00 — 7:30 p.m. Place: City of Milton Executive Conference Room Attendees: Julie Zahner Dailey, Jon McPhail, Mark Law and Melinda McConnell (input from some of those who could not attend had been received via email prior to the meeting). Agenda: • Discuss the results of the presentation of the committee's Executive Summary and accompanying letter to CPAC at its last meeting, in which we received assurances that the Milton Grows Green Committee would be listed as a "stakeholder" that had been given consideration in the development of CPAC's recommendations. We also received assurances that this committee would be given a further opportunity to offer more detailed and concrete input at the appropriate time, to be considered for addition to or alteration of the recommendations of CPAC. • Determine what steps to take to accomplish the goal of having the appropriate recommendations for CPAC when appropriate. ■ Advance the subcommittee structure and stimulate their beginning fulfillment of their roles. • Follow up on the activities begun with respect to the Milton Spring Event, which has been cancelled by the city. General Information, Discussion and Action Items: Given the cancellation of Milton's Spring Event, it was deemed appropriate to continue development of the brochure begun by Francia (with Melissa's assistance), to have it available to the public as part of a "launch of the committee's public presence, to include at a minimum a "page" on the city's website, the availability of contact information for individuals interested in joining the committee, or in receiving communications via email. Julie is to follow up with the appropriate city officials to determine what we need to provide, in addition to our Executive Summary (which includes the subcommittee structure and our mission statement), the brochure and contact information. If it is possible to get this arranged in time, we would like to send out a press release to local news outlets to coincide with Earth Day, although clearly not tied to Earth Day so as not to limit the committee's scope. If available in time, that press release should also be posted to our web page. Target date: April 23. This raised the issue of communications generally, and how we will handle those, which in turn raised the issue of the subcommittees and their roles. It was determined that Jon should prepare Milton Grows Green Committee Minutes April 16, 2008 [Approved] ALL MILTON GROWS GREEN DOCUMENTS ARE PRINTED ON RECYCLED PAPER WITH AT LEAST 35% POST-cONSUMER CONTENT. an email to go to the members of each subcommittee (see attachment to these minutes), requesting that the subcommittee members communicate among themselves, whether by physically meeting (preferable) or by email, select a chairperson, and prepare an initial draft of the following items: 1. Identify and prioritize all ongoing areas of concern of the particular subcommittee (with special emphasis on areas that affect the Comprehensive Plan) 2. Determine data and research needs (factual information, standards, examples, information from the City of Milton) 3. Establish goals for areas in 1. 4. Propose alternative steps to achieve those goals. 5. Measure progress of the subcommittee and document its activities for reporting back to the committee as a whole. Target date April 28 (draft), so that the committee can review this at its next meeting. Mark. Law pointed out that the City of Milton Tree Ordinance is currently under evaluation for possible reconsideration, and that each councilperson and the mayor would have one appointee to that group (at a minimum), to act as a conduit for information in both directions. Tree ordinances from different pats of the country are under review, to see what approaches are available that might merit consideration in Milton's circumstances. Also discussed, and deemed advisable from an historical and documentary standpoint, was developing a list, or chronology, of the committee's activities, proclamations and course of development. Jon volunteered to have a draft by the next committee meeting, as Francia is otherwise occupied at the present.
