The time of Earth Day Festival was discussed and changed to 10:00 am until 2:00 pm
• Still discussing the venue selection, MGG members were encouraged to walk from the proposed
parking area to the large open field further in the park to determine if this was a viable site for
the Festival. Not having two-way vehicle access to the back -field area is a problem. Question is
whether or not the logistics will support us having it there.
ACTION i i'E;%I: Review site in person walking from parking area on hill to back field and be ready
to make a decision at our next meeting February 22nd.
® Todd Harkleroad has agreed to be MGG's lead person for Food. Vendors.
• Include a recycling event such as Soules4Souls or Books for Better World Books.
Formation of a 501(c) 3:
MGG wont be getting 501(c) 3 status before Earth Day. This will affect how we deal with
sponsors and contributions.
Jon met with Chris Lagerbloom on Feb. 7, 2011 to discuss the formation of an MGG 501(c) 3.
Chris indicated his concern regarding not having any overlapping personnel on both the board
of directors for the charitable group and the MGG board, due to an unspecified conflict of
interest that might arise. Two possible alternative structures outlined were:
1. An organization related to MGG that would be an independent separate entity (501(c) 3) whose
sole purpose would be to fund MGG projects and MGG would remain a City of Milton
conaznittee; or
2. MGG and a 501(c) 3 committee would become one and the same, and MGG would no longer
be a City Committee.
The general sense among MGG members present is that we remain a City committee, that it
added to Milton's cache to have an environmental committee with a broad directive from City
Council, and it gave MGG some legitimacy to be part of the City. Cindy's sense of the situation
was that Chris just wanted us to step back, put it on hold and give him some time to look at
oilier models. He wants to revisit this after our event.
Julie suggested that we document the advantages to forming the 501(c) 3 as we see them and
give examples of other organizations that have similar structures.
To some degree the decision not to pursue a 501(c) 3 at this time will affect our ability to get
large donations from corporations. From last years experience there are specific local companies

that won't donate to any organizations unless they are a 501(c) 3. Any contributions made to the
City of Milton are tax-deductible but corporations want to be seen as promoting charitable
organizations, education or the environment groups as opposed to "the government." Cindy
doesn t think this will affect our immediate concern, our ability to raise funds. If we get enough
vendors, we will be fine.
Events Needing a Long Lead-time:
We need to identify those events and activities requiring the longest lead-time and contact
appropriate volunteer groups. Sponsors for T-shirts or water bottles that would include their logo
(or ours) on display are a good example.
Scheduling bands or other musical groups, The School Rock, adult or kid program, always looking
for gigs and don't get paid. Kathy is going to check on the School of Rock (Would need sound
system and generator for this.)

• Boy Scouts, their camporee is the same weekend. We need to contact Walter Dean, the go to
person, and find out who might be available for laying out trails or help with parking, etc. or put
up a rope bridge, would be a good visual next to the triage tent. The Scout's expo had some great
environmental exhibits that may be portable to our Earth Day.
• Girl Scouts, they helped at the educational tent last year. Gina made the contact. Suggested
names were Denise Hackman at Summit Hill, or Lorie Tucker.
• Hopewell M.S., Eco-explorers - Tina D'aversa from Hopewell M.S. is the contact person or Tom
Sewell.
• Milton H.S., Ann Marie Girard, advisor for the National French Honors Society at Milton H.S. is
also a good person to contact since her group was involved in Rivers Alive.
• Northwestern M.S., Environmental Awareness Club, Margie Hall is the advisor.
• High Meadows, „High Meadow School is a non-profit, co-educational, independent, and non-sectarian
day school serving children from age three through eighth grade." They could sponsor an event. Cindy
suggested contacting Chris Robie.
• Alpharetta H.S., - BETA Club, Teresa McGahee & Mary Kay Swartz; and
- Environmental Club, Javier Fernandez
• King's Ridge Christian School has someone who's on the environmental club that helped with
the Chipper program this year. (Note: Marc Arrington has been contacted for her name.)
• St. Francis H.S., Charlotte Stack is the Principal.

• Cindy has been given a credit card to handle small purchases eliminating one of our problems.
The card has a line that says purchases are "Tax -Exempt" We must be sure we get the best price
on anything we buy over $100. $500 is the threshold at which we have to get a minimum of 3
bids. Jack said he met this threshold last year. Julie suggested making an MGG form to record
how/when we've shopped around or bought anything for the Festival to satisfy City concerns.
• Get range of costs for T-shirts to give Sponsors some idea of what they'd be getting for their
donation. Cindy and Jack were going to look at getting vendors.
ACTION ITEM: MGG members need to make a firm decision on the color of the T-shirt, material -
100% cotton, and the location for the Earth Day logo and for the Sponsor's logo. Suggestion was

made to print the Earth Day logo small on the front and larger on the back. Must allow time to see a
sample. Cindy and Jack will shop vendors.
