A r... •# 1Il li i Milton MILTON GROWS GREEN COMMITTEE MARCH 8, 2011 MINUTES [APPROVED] O Date: March 8, 2011, 12:00 pm -1:50 pm / Place: City Hall Executive Conference Room, Milton, GA Agenda: It was posted on the City's web site. Attendees. Jack Lindon, Francia Lindon, Amy Peters, Kathy Johnson and Cindy Eade. • I. Announcements and Updates. • Minutes from February 8, 2011 were passed with one change being made. • The Bulky Trash Amnesty Day Flyer was passed out and MGG was asked to supply 4 volunteers to track the number of Milton participants. • Adopt -A -Road: Twenty road segments have been adopted with 4 new ones in process. Cindy Eade will be the backup person available to take calls for Julie Pinckney. Updated paperwork is completed and is posted on the City's website. Recognition luncheon/ certificate of appreciation for AAR volunteers discussed. Public works will pick up orange bags when notified after a clean up. The Great American Cleanup: Nationwide Keep America Beautiful events held March thru May. Idea for cleaning up and planting trees along the entrance road to Bell Memorial Park with help from Hopewell Youth Baseball league. Adopt -A -Road volunteers encouraged to do their cleanups in May and label the day something like "Milton Volunteer Day" or "Week" or Volunteer for "A Better Milton Day." • Earth Day Planning: Tom Gilliam joined the meeting to review each area of planning. • Logistics: Jack talked about the logistics, parking and venue set up. Carter Lucas has given his assurances that these areas will be mowed. Walter Dean and the Boy Scouts are on board to mark a few trails. We will have Gordon Hunter's wagon and 2 electric cars to transport people from the parking area to the venue sight if they are unable or unwilling to walk. Discussion about getting electricity to sight - Cyndee and Carter investigating. Jack to check on generators (Honda recommended to be quiet). We will rent a stage if we have entertainment. Sponsorships: Cindy - 3 $500 sponsors (Republic, Optech). Jack - RBC interested, CWS and possibly Exide. Jack and Jon working on Walmart. Jack working on WM as presenting sponsorship - WM logo on t- shirts and water bottles for $2500, but flexible about going to $1500 - choosing t-shirts or water bottles. Jack to send letter on presenting sponsorship to WM. Cindy working on Dumpster Co and Comfort Zone donation. Kathy recommended some changes to the sponsor vendor forms and benefits. • Activities: Cindy passed out updated spreadsheet and reviewed sponsors, activities. Milton Grows Green Committee Meeting Minutes, March 8, 2011 [APPROVED] ALL MILTON GROWS GREEN DOCUMENTS ARE PRINTED ON RECYCLED PAPER WITH AT LEAST 35% POST - CONSUMER CONTENT. Discussed Jim Nark, animal program and timing - add time as budget permits. Lots of discussion about history ride/ carriage ride. Kathy will follow up with Patty Silva. Many suggestions from Kathy about green egg hunt and Cindy said she would take care of the green egg hunt. Out -of -the -Box Art - $100 supply costs - Kathy will decide. Silent Auction will be conducted for electric car. Monkey Bridge, hand tied rope bridge - Jonathan Eade will run. Shoes for the Cure. Cindy will check on getting a container delivered. Enviroscape - Hopewell MS. Tina may not be able to come. Small Dog Rescue - no charge since they are considered an "activity". Rainbarrels - Richard Kinzel (Cindy). Jack will follow up with Marc on his cistern contact. Companion Dogs, Guide Dogs, Canine Assistants. Amy to follow up. Jack - Will check with Gordon on getting his tractor and wagon. Park trails can be self -guided with maps (laminated). Amy will help follow up with potential vendors. Kathy checking with husband on music. Kathy checked on rolling "orb" ball, human hamster ball - $250 from Games 2 U. Big party hit. Francia will update fliers to include our new offerings. Vendors: Only Pup Truck and Small Dog Rescue signed up as vendors. We need more. Kathy inquired about solar companies and said she would follow up. Cindy will send Kathy vendor form / cover letter. Francia will update flyer with listing of new activities. Cindy has quotes on tents, banners. Todd will call on food vendors: K Cafe, Original Pancake House, 'CUE Barbecue. Kathy suggested Brooklyn Joe's Pizza and Chik-fil-A. Pup Truck has sent in its form and check. Jack will follow up on Starbucks. There should be no more than 6 food vendors. Kathy suggested no Styrofoam usage. Volunteers: Jack and Kathy claim Milton HS is a "black hole," cannot get a response from anyone including the band director. Starting a list of people who have indicated interest in volunteering. Cindy doing networking meetings to get vendors/ sponsors. Budget: Cindy handed out current proposed budget. We have $3450.00 to work with. We got a good deal on tents. Also MGG has 2 and Julie Zahner Bailey has 2 we can use. Cindy asked if we wanted to pay for an Open Microphone to run the entertainment for $500. Consensus was yes if we have money. Discussion of last year's misc. supplies of $1000 - can this be avoided? Decided to add more activities such as hamster balls, petting zoo, etc. if more money comes in. Jack thinks things are going well.
