Date: April 12, 2011, 6:30 - 8:00 pm Place: Birmingham Fire Station #43, 750 Hickory Flat Road, Milton, GA Agenda: It was posted on the City's web site. Attendees: Jack Lindon, Francia Lindon, Kathy Johnson, Cindy Eade, Janice McCloy, and Amy Peters. I. Old Business Earth Day Planning_ • Banners and Signs - discussion of sizes and locations. Janice picked up signs to help with lettering. Jon requested 15 enlarged fliers to hang in businesses. Much discussion about what were going to be the kids' activities and MGG signage. Jason needs electronic files for kids' activities signs to print 9 x 12 posters. Kathy will pick up these up on Friday at 11. • Logistics - Jack explained layout with a diagram with vendor and activity locations. Tables will be delivered Thursday due to possible rain on Friday. On Friday volunteers can help set up. Ask It's My Party, tent vendor, to make second trip to set up or stack tables ad chairs in middle of each tent. Optech will recut grass in some areas. Need signs pointing from kids' tent to Hamster Balls and Monkey Bridge. Jack bought 6 x 8 ft. canvas cloths for seating by entertainment stage. Jack will arrive at 8 am Saturday, 9 am for others setting up MGG booth, and volunteer area. Fire truck will be near fence north of barn for easily egress. People will be funneled down from parking area through entrance. Discussed tent allocation. • Sponsors - Jon got Union Hill Grill / Crabapple Tavern's check for $200. • Advertising - Paid ads have been paced in the Milton Herald and Roswell paper. Need 'sound bites' and different fonts. • Kids Activities - Kids activities tent will be in the first area that people come to after the City/ Signin tent at the entrance. Kathy said she will need coolers with water for mud pies - big hit last year. Two green egg hunt areas will be set up. Kathy will meet Jack to check out kids' tent location on 4/ 13. Kathy needs to collect supplies from Amy. Lots of discussion about what specific crafts and supplies would be needed. Plan on 150 kids for crafts. • Activities - Shoes for the Cure - will deliver the collection box. Electric car silent auction and display in field's center. Animal critter show needs 2 tents on level area where there isn't too much activity going on - big tortoise, iguana. Need to separate rescue dogs from critter show. Francia will talk with Small Dog Rescue about their needs and placement - place humane society next to Small Dog Rescue. Cindy and Jack will pick up Gordon's wagon Thursday night. The salad table Amy's husband David made could be in kids' tent or handled by the Milton Garden Club. Need plants to put into it. Construction plans from the U. of MD available on web at Martha Stewart.com. Julie Zahner Bailey will be helping some of the time with historical carriage ride. • Volunteers - Cindy handed out spreadsheet with activities needing volunteers. Janice agreed to fill in volunteers in various areas. Kathy actively recruiting people for kids area. Volunteers for monkey bridge needed. Trails will be self -guided with maps. Randy (Jon's friend) will be tentatively in charge of parking. • Entertainment - Francia will check with neighborhood Milton HS kids about performances. 10-minute slots are available. Cindy will ask Jon to be in charge of entertainment/ announcements. Kathy still working on Birmingham Falls ES students for environmental skits and poems. • Food Vendors - All food vendors said they are bringing compostable products. Discussion about purchasing extra enviro-friendly serving products and paper funnel cups. Cindy will purchase. Coolers for drinking water. • Attendance - Questions about what the city is expecting. Last year the numbers varied from 200 - 400. Janice will try and keep a headcount. Suggested purchasing a clicker. • Budget - $7000 actual and anticipated expenses. $7600 anticipated income. Don't have a lot of cushion in the budget. II. New Business • Rain Barrel Workshop - May 11 at Scottsdale Farms. Flyers will be handed out at festival.
